  • Adjust paper guides: Misaligned guides can lead to paper skewing or jamming, so make sure the paper guides in the trays are correctly set for the paper size you're using. Adjust the guides as needed to fit the width of the paper, making sure they're snug but not too tight against the edges.

Weekly Maintenance

  • Clean the feed rollers: Open the access panel to reveal the feed rollers, which are usually rubber or plastic cylinders near the paper path. Gently wipe away any dirt, dust, or paper fibres with a soft, dry cloth. Be sure to avoid harsh chemicals or abrasive materials that might damage the rollers. While cleaning, rotate the rollers carefully to make sure you clean all surfaces thoroughly.
  • Check the registration pins: Consult your printer's manual to find the registration pins. These are usually small metal pins that help align the paper sheets accurately as they pass through the printer. Inspect them carefully for any obstructions like paper fibres, dust, or other debris. If you notice anything, gently remove it with a soft, dry cloth or a toothpick, taking care not to damage the pins.
  • Lubricate moving parts (optional): Check your printer's manual for specific guidelines on lubricating moving parts, as not all printers require it. If lubrication is recommended, be sure to use the type specified in the manual. Apply a small amount to the designated moving parts, like the feed rollers, and follow the manufacturer's instructions for the proper application method. Avoid over-applying, as too much lubricant can attract dust and dirt.

Monthly Maintenance

  • Deep clean the machine: Remove the panels or covers to access the interior of the collator, then use a soft, dry cloth to gently clean all internal surfaces. Pay special attention to areas around the rollers, feed trays, and the collating mechanism. You can use a low-power vacuum with a soft attachment to target stubborn spots, but be cautious not to use too much suction to prevent damage.
  • Check for wear and tear: Inspect all parts of the collator, including belts, gears, rollers, and sensors, for signs of wear such as fraying or unusual noises. Specifically:
    • Check the belt tension; if the belts are too loose or too tight, it can impact the machine's performance and cause premature wear.
    • Examine the rollers for dirt, damage, or debris. Dirty or damaged rollers can lead to paper jams or poor collation quality.
    • Make sure all sensors are properly aligned and functioning. Misaligned sensors can result in inaccurate counting or paper jams.
  • Update firmware: Visit the manufacturer's website or contact their support team to check if there are any firmware updates for your collator model. If an update is available, download it to your computer and follow the manufacturer's instructions to transfer it to the collator. This might involve using a USB drive or connecting the collator to a computer. After the transfer, follow the on-screen instructions to install the update, which may require restarting the machine. Finish by checking the collator's settings to confirm the new firmware version has been installed successfully.
